Your data, documents and AI

You'll be sharing answers and documents about your charity. Here's what happens to them, in plain English. For the formal detail, see our privacy notice and terms.

What you share

You share two things: your answers to about 50 questions, and any documents you choose to upload. Documents are optional. The ones we ask about include your fundraising strategy, your annual accounts, a recent supporter communication and a board paper on fundraising.

We read the text in each document. That works for PDF, Word, Excel, PowerPoint, web pages and XML. Each file can be up to 40 MB.

Please don't upload supporter data

Don't upload anything that holds personal details of individual donors. That means no names, no contact details and no giving records. The audit doesn't need them. It looks at how your fundraising works as a system.

If a document you'd like to share has supporter data in it, remove that part first, or leave the document out.

Who reads it

An AI model reads your answers and documents and drafts the report. An expert from Fundraiser In The Room then reads every report in full before it's released to you. Nobody else reads your evidence as part of the audit.

What the AI does, and what it doesn't

The AI model reads the evidence, scores each sub-dimension against the method, and drafts the words of the report. It also answers the questions you ask about your report on screen.

The AI doesn't do the arithmetic. Force scores and the overall score are worked out in code, using the rules of the method. The AI model's own sums are never used.

The AI can be wrong. That's why an expert reads every report before release, and why the report shows the evidence behind each score, so you can judge it for yourself.

When things are deleted

Your documents are deleted 30 days after your report is released.

Your report and the on-screen conversation stay visible for 90 days after release. After that they drop out of view, and we show you the date in advance. Download the PDF if you want to keep it.

The formal detail
